What the board is voting on
$30,000: the Year-Round Partnership for FY27, July 2026 through June 2027.
It includes four quarterly plans, four produced videos, sixteen carousels and graphic posts, two production days on
site, and two working sessions a month. Every piece is made in English and Spanish, with paid distribution behind the
content. The Opening Campaign was contracted separately in March and is not part of this vote.

What is already yours
- Discovery Report: two stakeholder focus groups, audience research, landscape scan, and a read of your newsletter performance.
- Messaging hierarchy: a one-page framework, three audience-specific elevator pitches, sample taglines, and the map between donor language and public language.
- Campaign Visual System: the campaign lockup over your existing brand, extended palette, typography pairings, graphic motifs, templates, and a mini style guide.
- Photography style guide and press kit copy: one-sheet, fact sheet, and leadership bios.
- Pre-Launch Content Plan: 24 pieces specified one by one, each with its format, its narrative pillar, the day it publishes, and the idea behind it.
Coming in one batch, within two weeks
We need nothing further from you to finish these three items and close Phase 1.
- Content Calendar: the launch week and the six months after, added to the pre-launch plan you already have.
- Digital Strategy Memo: platform priorities, email segmentation and cadence, paid media scenarios with phased budgets, and the website and landing-page content plan.
- Collateral Templates: email, social, and donor presentation templates.
What activates the remaining work
We need the confirmed opening date at least four weeks in advance. That gives us time
to produce and publish the countdown before launch week. Until then, Phases 2 and 3 remain paused: no meetings are
charged to them, and none of their $25,500 budget is used. Once the date is confirmed, production begins from the
approved plan.
The open items on your side
The first three items are enough to finish the press kit. The final item schedules the
first production day.

The agreement includes two working sessions each month. Every third session is the two-hour planning session that
sets the next cycle; the others are shorter performance reviews.

Video
A produced short video
4 / year
Each vertical video includes a brief, a script or interview structure, a location shoot, editing,
color, subtitles, and separate English and Spanish versions. We produce two videos during each of the two on-site
production days; those same days also capture the stills and B-roll used in the sixteen posts.
What goes into one
- At the planning session, we choose the idea and write a brief covering the story, its subject, and its purpose.
- We write the script or the interview structure, and you approve it before anyone shoots.
- We shoot it on your production day, on location, with our crew and equipment.
- We edit, color, subtitle, and create a separate Spanish-language version.
- You review the cut once. We make the final edit and publish it on the approved date.
What you receive
- The finished video, in English and Spanish.
- Files you can keep and reuse on your website, in a donor presentation, or in a grant application.
- Placement of the Spanish-subtitled version with El Tiempo Latino at no extra cost, at the editorial team's discretion.

A carousel develops one idea across four to seven slides; a single graphic makes the same point in
one image. We research, write, and design both formats in English and Spanish.

- The subject comes from the quarterly plan and its narrative pillar.
- We research the subject and pull material from your archive when the story requires it.
- We write and design the piece in the campaign visual system you already own.
- We design the English and Spanish versions together.
- You approve in a batch, and it publishes on its scheduled day.

structure of your existing Pre-Launch Content Plan and guides production.

- Spanish, on every piece. We design separate English and Spanish versions together from the start. Montgomery County has 1.08 million residents, 62% of them people of color, and one in three born outside the United States. Spanish extends the work to a larger part of the county.
- El Tiempo Latino's platforms. At the editorial team's discretion, Spanish-language pieces also run on our channels, extending Montgomery History's distribution.
- Light support on newsletters, analytics, and design. Between cycles, the package covers minor newsletter layouts, analytics reviews, and design adjustments without a separate scope discussion.

How the flexibility works
If an event is six weeks away, we can use the next planning session to schedule content and
distribution around it without adding budget. The annual total remains four video slots, sixteen posts, and two
production days. We move them; we do not add to them.
07 · Year-Round PartnershipHow we will judge the year
By opening day, Montgomery History should already have an audience that knows the organization and its work.
What the partnership builds

- A library of owned stories and footage you keep and reuse in grant applications, donor decks, and the Center itself.
- Regular Spanish-language publishing across a county where one in three residents was born outside the country.
- A quarterly record of published work and results for your board.

- Follower growth compared with the baseline in the Discovery Report.
- Engagement, including saves and shares.
- Distribution spending and results by placement.
Performance commitment
We commit to the deliverables and meeting schedule above, with transparent reporting against
the Discovery baseline. The agreement does not guarantee a follower count. Monthly reports include the placements
that underperform.
08 · Both agreementsWhat is not included
- Earned media. The Opening Campaign covers press relations, spokesperson training, and on-site press coordination.
- Third-party paid placements. Neither budget covers radio, television, or print buys.
- Donor and foundation communications, government relations, and public affairs. Neither budget covers this work.
- Standalone branding work. A logo or identity for a separate initiative, like the History Conference, is its own project. Tell us and we will scope it; it will not quietly consume this one.
09 · Both agreementsWhat happens next
- Your board votes on the $30,000 FY27 partnership on September 16. The Opening Campaign was contracted separately in March.
- We hold the two-hour kickoff the following week. We approve the first cycle piece by piece and schedule the first production day.
- Montgomery History sends the remaining Opening Campaign inputs. The first three items are enough to finish the press kit.
- You confirm the opening date at least four weeks in advance. Phases 2 and 3 begin from the approved plan, while the partnership concentrates content and distribution around the date.
Please flag anything that does not fit before the September 16 vote so we can resolve it
before kickoff.
